ACCOUNTABILITY STATEMENT:

In order to accommodate vacations, illnesses, and special initiatives within the clerical group, the Spare General Clerk must be available for work on a call-in basis. The responsibilities of this position include the provision of general accounting and office administrative support services to a variety of departments within the Organization. Please be advised that this position does not provide any assurance regarding the number of hours.

MAJOR DUTIES/ RESPONSIBILITIES:

  • Execute a diverse array of administrative responsibilities, including the calculation, reconciliation, preparation, and issuance of documents related to transactions, including invoices, bills, inventory reports, account statements, and other documents, on both manual and computerized systems.
  • Sort, process, and verify receipts, deposits, timesheets, expenditures, forms, and other documents.
  • Perform fundamental banking and accountancy operations, such as the collection, coding, tallying, and disbursement of wires, checks, and other documents.
  • Collaborate with a variety of software applications, including cloud-based software, to process transactions such as DocAgent, travel cards, and customer invoices.
  • Engage in communication with customers, employees, and other stakeholders to resolve inquiries, provide clarifications, and process payments and orders.
  • Edit, proofread, finalize, and key correspondence, reports, statements, invoices, forms, presentations, and other documents.
  • Attend to inquiries from internal and external sources via email, fax, or other means in a timely and effective manner.
  • Scan, reproduce, and compile documents for distribution, mailing, and archiving, in both electronic and hardcopy formats.
  • Facilitate the transfer and disposal of records, administer the file room, and retrieve requested files from storage.
  • Comprehend and guarantee the security of personal and confidential information.
  • Place an order for office supplies and equipment.
  • Will be required to assume responsibility for other clerical positions during periods of vacation, illness, or other leave of absence.
