Job Summary
The Team Support Clerk is responsible for providing administrative support to the Social Services team and providing front-line reception services to Halton residents, all while reporting to the Supervisor of Social Services.
Duties & Responsibilities
- Achieves direct, frontline customer service by promptly responding to customer inquiries, complaints, and concerns.
- Refers individuals to both internal and external resources.
- Assists walk-in consumers by responding to telephone inquiries and relaying communications.
- Offers customer service support to Ontario Works sites in the reception/waiting room.
- Responsible for maintaining the general cleanliness of the reception area, waiting room, and lobby.
- Provides supplemental assistance to the Integrated Program Assistant.
- Distributes mail to Ontario Works site personnel and coordinates the daily collection and drop-off of couriers.
- Records data in an Excel spreadsheet and prepares food vouchers, recreation forms, transport tickets, and optical forms for participant pickup.
- Updates SAMS as necessary.
- Records all correspondence received in an Excel spreadsheet and prepares routine correspondence for delivery to Integrated Case Managers.
- Ensures that there is an adequate supply of forms and publications and places new orders as needed.
- Gathers data, statistics, and other relevant information.
- Assists the Employment and Social Services site and personnel with routine administrative tasks.
- Executes additional responsibilities as necessary.
Skills & Qualifications
- A secondary education diploma with a focus on Office Administration
- A minimum of two years of experience in a related field
- Exhibits exceptional self-management, organization, planning, and multitasking skills
- Exceptional oral and written communication abilities
- A comprehension of Ontario Works legislation is advantageous.
- Demonstrated proficiency in customer service and the capacity to resolve issues with participants who are more difficult to serve
- Knowledge of the Social Assistance Management System (SAMS) and proficiency in Microsoft Office Suite applications would be regarded as a valuable asset.
- An equivalent combination of education and experience will be assessed.
